Cocoom's privacy policy explains how we collect your personal data, in the strictest respect of your rights, and how this data is used. When we refer to "Cocoom", "we", "us" or "our", we are referring to Cocoom SAS.

# πŸ“š Definition and nature of personal data

When you use the services accessible from our website, cocoom.com (opens new window), or a dedicated Platform sub-domain https://<DOMAIN.cocoom.com> or Cocoom App in Microsoft Teams, hereinafter referred to as "Cocoom", we may ask you to provide us with personal data. By "personal data", we mean any data that allows a person to be identified, such as your surname, first name, photo or e-mail address, as well as any other information you choose to provide us with.

Cocoom undertakes not to communicate to anyone, directly or indirectly, all or part of the information of any kind, whether commercial, industrial, technical, financial, nominative, etc., which has been communicated to it by the Customer, user or prospect. Cocoom may, for promotional purposes, quote the Customer solely in its capacity as a user of the Platform.

Pursuant to Regulation (EU) No. 2016/679 of the European Parliament and of the Council of 27 April 2016 and the French Data Protection Act No. 78-17 of 6 January 1978, as amended by Act No. 2018-493 of 20 June 2018, all relating to the protection of individuals with regard to the processing of personal data, The personal data of the Customer's technical and legal managers in relation to Cocoom (hereinafter the "Customer's Technical and Administrative Staff") and Users are processed by Cocoom, which acts as data controller. Cocoom undertakes to ensure the protection of the personal data of Users and the Customer's Technical and Administrative Staff, as well as all personal data obtained via the Platform.

When the Customer registers on the Platform, the Customer is likely to communicate personal data from the Customer's Technical and Administrative Staff, such as the identity of its referring users, or its IT specialists for the proper configuration of the Platform. The purpose of processing this data is the proper execution of the Cocoom service.

When registering, the User provides the following personal data:

  • his or her name,
  • his first name,
  • his work e-mail,
  • (optional) his date of birth,
  • (optional) his professional skills,
  • (optional) its date of arrival in the Customer's organization,
  • (optional) the title of the position held,
  • (optional) his other professional contact details (geographical addresses, telephones, e-mails),
  • (optional) links to its accounts on social networks,
  • (optional) a description of his professional and educational background in the form of a mini-biography written by the User.

When using the Platform, Cocoom is also likely to collect the following personal data from the User:

  • comments text,
  • its interactions with the content (polling, applause, bookmarking),
  • its publications of text, images or videos,
  • the history of what he read.
  • the technical history of his actions (publish, comment, ...).

The sole purpose of processing the data collected is to identify the User and to ensure the proper functioning and use of the Platform by Users. Cocoom undertakes to collect personal data only for the precise, explicit and legitimate purposes mentioned above and not to process them in a manner incompatible with these purposes.

This data may be transmitted to a third party company responsible for hosting this data, which then acts as a subcontractor. Under no circumstances will they be transmitted to other third parties. Personal data is not likely to be transferred outside the European Union for data storage and in any event, it is not transferred to a country considered by the CNIL (opens new window) as not offering an adequate level of protection. The Subcontractor is bound to respect the exercise of the data subject's right in the same way as the Supplier.

These personal data concerning the User and the Customer's Administrative and Technical Staff are subject to computer processing and will not be kept for longer than is strictly necessary for the stated purposes and to protect Cocoom's legitimate interests. The User and the Administrative and Technical Staff of the Customer have a right of access to the information contained in the database.

The User and the Customer's Administrative and Technical Staff have the right to access, rectify, limit processing, oppose processing, portability, erasure and the right not to be subject to an automated decision including profiling. The User and the Client's Administrative and Technical Staff also have the right to withdraw their consent.

The User and the Customer's Administrative and Technical Staff may contact the Supplier at the following e-mail address: support@cocoom.com for any request and to exercise their rights.

Finally, the User and the Customer's Administrative and Technical Staff have the right to make a complaint to the National Commission for Information Technology and Civil Liberties (Commission Nationale Informatique et LibertΓ©s). Cocoom will in no way be responsible for the data protection carried out by the Customer and concerning Users in the context of their contractual relations.

# ⚠️ Notification of incident

No matter how hard you try, no method of transmission over the Internet and no method of electronic storage is completely secure. Therefore, we cannot guarantee absolute security. If we become aware of a security breach, we will notify the users concerned so that they can take appropriate action. Our incident notification procedures take into account our legal obligations, whether at national or European level. We are committed to keeping our customers fully informed of all matters relating to the security of their accounts and to providing them with all necessary information to help them meet their own regulatory reporting obligations.

No personal information of the Cocoom user is published without the user's knowledge, exchanged, transferred, assigned or sold in any medium whatsoever to third parties. Only if Cocoom and its rights were to be acquired would the said information be transmitted to the potential acquirer, who would in turn be bound by the same obligation to keep and modify the Cocoom user data.

To ensure the security and confidentiality of Personal Data, Cocoom uses networks protected by standard devices such as firewalls, pseudonymization, encryption and passwords.

When processing Personal Data, Cocoom takes all reasonable measures to protect them against loss, misuse, unauthorized access, disclosure, alteration or destruction.

Any dispute in connection with the use of the Cocoom site is subject to French law. Except in cases where the law does not allow it, exclusive jurisdiction is given to the competent courts of Lyon.
